Development Database Administrator

Job Overview
This person interacts directly with donors as a representative of Westminster Academy. The Database Administrator will work closely with the Director of Development, providing support for executing fundraising strategies. He or she will be responsible for maintaining the integrity and efficiency of our Raiser’s Edge database, ensuring it serves as a powerful tool for strengthening donor relationships and managing fundraising efforts.
Responsibilities
Maintain and optimize Raiser’s Edge database:
- Perform gift entry for all donations
- Produce acknowledgement letters and tax statements
- Create and manage custom fields, reports, and dashboards
- Troubleshoot system issues and resolve data errors
- Generate monthly reports and analysis on annual fund, capital campaign, and all event
- program giving to inform strategic decisions
- Manage data connections and transfers between Raiser’s Edge and other external
- systems as needed, including Omatic import from FACTS annually
- Research ways to improve efficiencies for current data management processes
- Stay up-to-date with Blackbaud software updates and best practices
Support fundraising and advancement initiatives:
- Reconcile with the Finance Office on a monthly basis and prepare disbursement report
- Assist with donor stewardship activities, including mailings and email campaigns
- Manage auction item acquisition through One Cause auction software
- Manage purchase orders and credit card receipt processing through Tally
- Monitor budget performance
- Process payroll & recurring gifts

Qualifications
- Proven proficiency in Raiser’s Edge or similar software is highly preferred
- Strong understanding of database concepts, data integrity, and security protocols
- Excellent analytical and problem-solving skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Superb ability to handle multiple tasks concurrently
- Strong written and oral communication skills
- Bachelor’s degree highly preferred
This position occasionally requires outside time for attendance at advancement events.
